Pilot customer Robin Veit, IT Personnel Officer at EnBW, reports enthusiastic employees as well as cost and time savings due to the simple receipt entry, which also avoids errors and frustration.
Paper receipts don’t need to be collected, sorted then submitted in the office. Cytric Expense Automate Claim makes the process uniquely simple: take a "picture" via your mobile phone camera during or after the trip, upload it to Cytric Expense, then a new expense statement is automatically created/assigned in your expense dashboard. Robin Veit, IT Personnel Officer at EnBW, Cytric Travel customer since 2009 and Cytric Expense customer since 2018, has tested the new solution with his team for five weeks as a pilot customer - and they are ready to use it live for their entire company.
Create expense reports during the trip with Cytric Expense Automate Claim
"Before Covid-19, we annually converted travel expense reports in the six-digit range and the seamless process including the integration into our SAP landscape is the be-all and end-all for us. That's why we chose Cytric Expense. When the announcement of "Expense Free" reached us, we were immediately on board and put the new feature through its paces. Our conclusion: A real added value!", says Robin Veit.
"Frequently traveling employees are particularly thrilled as the stress usually only starts when you get back to the office: Did you collect all receipts? Which receipt belongs to which business trip? With Cytric Expense Automate Claim, it's almost impossible to get it wrong. The travel expense report is virtually created on the road."
Business traveler scan each individual receipt with his/her smartphone as soon as he/she receives them and uploaded them. Behind the scenes, the receipt is automatically processed and assigned to an existing booking statement if exist or a new statement is created. Once the business traveler is back in the office, he/she can open the saved expense report, check it, and submit it directly.
Employee are stress-free and more productive - and travel expenses are settled faster
For Robin Veit, the advantages are clear: "We save costs because our employees are more productive, and the process is more automated. The travelers save time and effort and, above all, have less stress with the "annoying office stuff" after the trip. It's also faster: the sooner the travel expense report is submitted, the sooner expenses can be reimbursed."
EnBW Energie Baden-Württemberg AG has been supplying around 5.5 million customers in Germany and Europe with electricity, gas and water as well as energy-related services and products for more than 20 years. One of EnBW's key objectives is to make the possibilities of the sustainable new energy world accessible to people - intelligently, securely and simply. The company employs almost 25,000 people worldwide. Expense management at this level has to be smart, secure and simple, with a corresponding reduction of effort required for each individual receipt and business trip.
At this point, it was important for Amadeus to get some feedback from a large customer like EnBW. The result: is that all requirements were successfully implemented, and that Cytric Expense Automate Claim has passed the test.
Key added value for the Cytric Mobile App
Cytric Expense Automate Claim is a good example of an Amadeus' solutions driving the digital transformation of businesses and making life easier for business travelers on the go. This feature strengthens the Cytric Mobile App by adding new value proposition.
Comparing benefits from general market studies and this pilot, a convincing picture emerges whereas it used to take an average of 20 minutes to prepare a complete expense report, it is reduced to four minutes with Cytric Expense Automate Claim. The number of unclaimed receipts is also reduced from an average of 11 percent to almost zero - another point that should make business travelers happy.
